UPI and cash billing mistakes at a busy counter

At closing time, the cash in the drawer does not match the report. It is short by a few hundred rupees. Nobody took it. So where did it go?

Very often the answer is UPI and cash billing mistakes. A customer paid by UPI, the bill was saved as cash, and now the report expects cash that was never there. The money is safe in the bank. But the owner spends half an hour recounting notes, and somebody at the counter feels accused.

This happened on our own till. Here is why, what I changed, and what you can check in your own shop whatever software you use.

How UPI and cash billing mistakes happen

On the first version of the DukaanKit food till, the payment choice had three buttons: Cash, UPI and Card. Cash was already selected when a new bill opened. I thought that was helpful. Most small sales were cash, so the cashier would save a tap.

Then a rush showed what really happens. The cashier taps the items, the customer holds up a phone and scans the QR, the cashier hears the payment sound and taps Charge. Nobody changed the button. The bill is saved as cash.

The cashier did nothing unusual. The screen did. A default is a decision the software makes for a person who is busy. When the default is wrong some of the time, the software is making wrong bills and the cashier is getting the blame.

What I changed

The fix was to remove the default.

  • When a counter bill opens, none of Cash, UPI or Card is selected.
  • The Charge button stays dim until one is tapped.
  • A short amber line says "Choose Cash, UPI or Card". It appears in English, Hindi or Kannada, whichever the till is set to.
  • After every bill, the choice clears again. The last customer's payment mode does not carry over to the next one.

The till also refuses to save a counter bill with no payment mode, even if something slips past the screen.

Yes, this adds one tap to every bill. I think that is the right trade. One tap is cheaper than a recount every night.

Two places did not need the change:

  • The phone till. There, Cash and UPI are the charge buttons themselves. You finish the bill by tapping one of them, so there was never a default to get wrong.
  • Swiggy, Zomato and delivery orders. The payment mode for those is set by the channel, so the cashier is not asked.

What I cannot tell you yet

I cannot give you a number for how many mistakes this removed. The first shop using it is small, and I have not measured before and after. I can only say the cause of the mistake is gone: a bill can no longer be saved as cash by accident without someone tapping Cash.

It also cannot stop a cashier tapping the wrong button on purpose or in a hurry. No screen can. That is what the checks below are for.

And the till does not confirm the UPI payment by itself. It does not talk to the bank or the UPI app. The cashier still has to see or hear that the money arrived.

Five checks for any shop

You can do these with any billing software, or with a notebook.

1. Look at your billing screen when a new bill opens. Is a payment mode already selected? If yes, you have found the most likely source of your mismatch. Ask your software provider if the default can be switched off. If not, make it a counter rule: say the mode aloud, "UPI", before tapping.

2. Count the drawer against cash bills only. At closing, your expected cash is the opening cash plus cash bills minus any cash you paid out. UPI and card totals have nothing to do with the drawer. If you do not have software that does this, our free daily sales tracker compares expected cash with counted cash for you.

3. Match the UPI total to your UPI app. Your report says how much UPI you billed today. Your UPI app or bank statement says how much arrived. These two should be close. If the app shows more than the report, some UPI bills were saved as cash, or not billed at all.

4. Compare the two gaps. This is the useful trick. If the drawer is short by an amount and the UPI app is over by the same amount, nothing is missing. A bill was saved in the wrong mode. If the drawer is short and the UPI side matches, that is a different conversation.

5. Write the correction down the same day. Tomorrow nobody will remember which bill it was. A line in a notebook, "token 41 was UPI, saved as cash", is enough.

Make the QR easy to see

One more small thing. Many wrong-mode bills start with the customer not knowing how you prefer to be paid until the last second. Put the QR where it can be seen while they are ordering, not after. If you do not have a printed one, our free UPI QR generator makes one from your UPI ID.

A note on bills and printing

The customer's bill from DukaanKit prints the payment mode on it, in English. Bills and kitchen tickets print in English only today, even when the till screen is in Hindi or Kannada.

If your closing count is a daily argument, look at the screen before you look at the staff. If you want to try a till where the payment has to be picked every time, start from the POS page. There is a free plan. Questions go to WhatsApp +91 99165 16507 or [email protected].
